Easily Check and Log Availability for Your Artists and Crew

With an ABOSS Artist PRO account, you can track and log the availability of your artists and crew members. This feature helps you determine which band members, crew, or other personnel are available for upcoming events, ensuring seamless planning and coordination.

If you use the Availability feature in your events, you can quickly see who is available and who isn’t. You also have the option to send the event itinerary to individuals or everyone at once, helping you keep everyone in the loop.

1. Adding Artists, Crew, and Others

To add people to your event's availability list:

  • Open the Event you want to request availability for. Note: you can only do it per event, not for multiple events at the same time.

  • Click on the "+ Add" button to select individuals from your Contact database.

  • You can add them one by one or click on "Link all artists/crew" to add everyone at once. This information added will be sourced from the Artist Details section.

2. Requesting Availability

To request availability from your artists and crew:

  • Click the paper plane icon next to the contact’s name or use the paper plane icon in the top right to send the request to everyone at once.

  • A pop-up will appear where you can include a personalized message.

  • Click on "Ask availability" to send the email. You can add a note if you like:

  • The request will be sent to the recipient’s registered email address, and the paper plane icon will turn green when the request is sent.

3. Managing Availability Responses

After the availability request is sent, the recipients can respond by selecting:

  • Confirm

  • Maybe

  • Deny

They will be directed to their browser, where they can also leave a note.

The availability status and any notes they add will be immediately updated in the event within ABOSS.

  • Green circle: Confirmed availability

  • Red circle: Not available

  • Orange circle: Maybe

  • If a note is added, a circle with an "i" will appear. Click on the circle to read the note.

4. Manually Setting Availability

To manually change the availability status for your artists and crew:

  • Hover over the paper plane icon or paper icon next to the contact’s name.

  • Click on the appropriate status (Confirmed, Maybe, Denied). The circle around their profile picture will update according to your selection.

5. Sending Itineraries

To send out the event itinerary to your artists and crew:

  • Click the paper icon next to the contact’s name to send it individually.

  • Alternatively, click the paper icon in the top right to send the itinerary to everyone at once.

  • The itinerary will be sent via email, so make sure their email addresses are up-to-date.

6. Removing from Availability List

To remove someone from the availability list:

  • Hover over the paper plane icon or paper icon next to their name.

  • Click on the bin icon to delete them from the list.
